Welcome to the Hauler Hero User Conference. These Terms & Conditions explain the rules that apply to registration, attendance, accommodations, recordings, conduct, and participation in conference activities. By registering for or attending the conference, you agree to these terms and the Code of Conduct below. |
1. Registration and Rates
Registration is confirmed once payment is successfully completed or Hauler Hero otherwise confirms the attendee’s registration. Attendees are responsible for reviewing the registration type, price, attendee information, and any included benefits before completing a purchase.
Hauler Hero may offer promotional pricing, group discounts, customer-specific rates, or other limited-time offers. Discounts are subject to availability and the terms communicated at the time of purchase and generally cannot be applied retroactively to completed purchases.
Discounts may be available for larger groups or bulk purchases. Group pricing is determined by Hauler Hero based on the size and circumstances of the group. Contact events@haulerhero.com for group-purchase options.
2. Cancellations and Refunds
Paid registrations may be canceled for a refund up to thirty (30) calendar days before the first scheduled day of the conference. Refund requests received fewer than 30 days before the event are not eligible for a refund, except where required by applicable law or expressly approved by Hauler Hero in writing.
Approved refunds will generally be issued to the original payment method and will be based on the amount actually paid for the canceled registration. Hauler Hero is not responsible for non-refundable travel costs or other expenses incurred by an attendee. Any non-refundable payment processing fees incurred in connection with the original registration may be deducted from the amount refunded.
To request a cancellation or refund, contact events@haulerhero.com in writing and include the attendee name, company, and registration information.
3. Registration Transfers
If a registered attendee can no longer participate, the registration may be transferred at no additional cost to another person within the same company or, with Hauler Hero’s approval, to another current Hauler Hero customer.
Transfers must be requested in writing before the conference begins and are subject to verification by Hauler Hero. Registrations may not be resold, auctioned, or transferred for commercial gain.
Any financial aid, complimentary benefit, or other attendee-specific assistance granted by Hauler Hero is personal to the approved recipient and is not transferable. If a registration receiving financial aid is transferred, Hauler Hero may require payment of the difference between the assisted amount and the applicable registration price.
4. Financial Aid
Hauler Hero wants the conference to be accessible to customers who can benefit from attending. Financial aid may be available on a case-by-case basis and must be requested directly from the Hauler Hero team at events@haulerhero.com .
Financial aid decisions are made at Hauler Hero’s discretion based on the circumstances of each request, available conference capacity, and available assistance. An award of financial aid does not create an entitlement to assistance for future events and cannot be exchanged for cash, transferred, or resold.
5. What Admission Includes
Unless a specific registration package states otherwise, conference admission includes access to scheduled conference programming and the following event-provided items:
- Food and beverages provided as part of the official conference program;
- Admission to the official welcome reception;
- Accommodations included in the attendee’s conference package, subject to the lodging arrangements and dates communicated by Hauler Hero; and
- Other activities or amenities expressly identified by Hauler Hero as included in the registration.
Travel is not included. Each attendee is solely responsible for arranging and paying for transportation to and from the conference, including airfare, ground transportation, parking, rental vehicles, and any travel-related insurance or incidental expenses.
Attendees are also responsible for hotel incidentals, upgrades, extended stays, damages, room-service charges, or other expenses not expressly included in the conference package. Accommodation details, including check-in/check-out dates and room assignment procedures, will be communicated separately where applicable.
6. Event Changes, Rescheduling, or Cancellation
Hauler Hero may reasonably modify the conference schedule, speakers, sessions, activities, venue spaces, food and beverage offerings, or other program elements. Agenda changes do not by themselves entitle an attendee to a refund.
If Hauler Hero cancels the entire conference, registration fees paid directly to Hauler Hero will be refunded. Hauler Hero is not responsible for attendee travel costs, change fees, cancellation fees, or other third-party expenses.
If the conference is rescheduled or materially relocated, Hauler Hero will communicate the available registration options to affected attendees.
Hauler Hero will not be responsible for delays, changes, rescheduling, relocation, or cancellation caused by circumstances beyond its reasonable control, including severe weather, natural disasters, acts of government, public health emergencies, labor disruptions, transportation interruptions, venue unavailability, utility or technology failures, or other similar events.
7. Attendee Access and Credentials
Conference credentials, badges, wristbands, or other access devices are issued to registered attendees and must be used only by the person to whom the registration is assigned. Hauler Hero may require reasonable identification when issuing or replacing credentials.
Attendees must follow venue access rules and any instructions from Hauler Hero staff, venue personnel, or event security. Access to individual sessions or activities may be limited by capacity, age restrictions, safety requirements, or registration type.
8. Families and Children
Hauler Hero welcomes attendees who are traveling with their families and encourages families to enjoy the destination and appropriate conference-adjacent activities together.
To preserve a focused and productive environment for customers, speakers, and other attendees, we ask that parents and guardians limit the presence of small children in meeting rooms, educational sessions, workshops, and other core conference spaces whenever reasonably possible. Children who enter conference spaces must remain under the supervision of a parent or guardian at all times and may be asked to leave a session if their presence materially disrupts the activity.
Certain receptions, activities, venues, or areas may have age or safety restrictions. Alcohol may be served only to individuals who meet the applicable legal drinking age, and identification may be required.
9. Accessibility and Accommodations
Hauler Hero is committed to making the conference reasonably accessible to attendees. Attendees who require a reasonable accommodation to participate should contact events@haulerhero.com as early as reasonably possible so that appropriate arrangements can be considered.
10. Photography, Video, and Audio Recording by Attendees
Unless Hauler Hero or a speaker indicates that recording is prohibited for a particular session or activity, attendees may take photographs and make reasonable video or audio recordings for personal, educational, or non-commercial use.
Attendee recordings may not be sold, licensed, used in paid products or services, used to create a competing commercial offering, used in a misleading or disparaging manner, or used in a way that suggests Hauler Hero endorses the attendee, the attendee’s company, or any product or service without written permission.
Attendees must respect the privacy, intellectual property, and reasonable requests of other attendees and speakers. Hauler Hero may require an attendee to stop recording or remove equipment if it disrupts a session, creates a safety concern, violates another person’s rights, or conflicts with instructions for a particular presentation.
11. Hauler Hero Photography and Media Release
By attending the Hauler Hero User Conference and related official activities, you authorize Hauler Hero and its designated vendors to photograph, film, record, and otherwise capture your image, likeness, voice, and participation in the event.
You grant Hauler Hero permission to use, reproduce, edit, publish, display, distribute, and create derivative materials from those recordings for legitimate business purposes, including event recaps, social media, websites, presentations, advertising, marketing, training, and promotional materials, in any media, without additional notice or compensation, to the extent permitted by applicable law.
If you have a specific concern about photography or recording, please contact events@haulerhero.com before the event so the team can discuss reasonable options; however, Hauler Hero cannot guarantee that an attendee will not appear incidentally in crowd or event footage.
12. Intellectual Property and Conference Content
Presentations, training materials, product demonstrations, graphics, slides, software interfaces, trademarks, and other conference content may be protected by copyright, trademark, confidentiality obligations, or other rights. Attendance does not transfer ownership of any Hauler Hero or third-party intellectual property.
Attendees may use conference content for their own internal learning and business purposes, subject to any restrictions communicated by Hauler Hero or a speaker. Reproduction or redistribution of substantial portions of conference materials for commercial purposes requires prior written permission from the applicable rights holder.
13. Product Roadmap and Forward-Looking Information
Conference presentations may discuss planned, proposed, beta, pilot, experimental, or future Hauler Hero products and features. These discussions reflect current plans and are provided for informational purposes only. They are not commitments or guarantees regarding availability, timing, functionality, pricing, service levels, or future development.
Purchasing or business decisions should not be based solely on statements regarding future products or features. Hauler Hero may change its product plans at any time.
14. Safety and Venue Rules
Attendees must comply with applicable laws, venue policies, safety procedures, and reasonable instructions from Hauler Hero staff, venue personnel, and security. Illegal drugs, weapons, threatening conduct, dangerous items, or activities that create a safety risk are prohibited to the extent permitted by law and venue policy.
Attendees are responsible for their own personal property. Hauler Hero is not responsible for lost, stolen, or damaged personal belongings except to the extent liability cannot be excluded under applicable law.
15. Code of Conduct
Our Commitment
The Hauler Hero User Conference is designed to bring together haulers, operators, industry leaders, partners, and the Hauler Hero team to learn, share ideas, build relationships, and improve the way our industry works. Thoughtful conversations and strong opinions are welcome, but they are most valuable when everyone can participate in an environment that is professional, inclusive, safe, and respectful.
Hauler Hero is committed to providing an event experience free from harassment and discrimination. We expect participants to treat others with respect regardless of protected characteristics under applicable law, including sex, pregnancy, gender identity or expression, sexual orientation, age, race, color, nationality, ethnicity, disability, religion or belief, veteran status, marital status, or other legally protected status. We also expect respectful treatment across differences in background, appearance, role, company size, experience, political views, or industry perspective.
Your Commitment
All attendees, speakers, sponsors, vendors, guests, and Hauler Hero team members are expected to be considerate, professional, and respectful. Be constructive. Respect personal boundaries. Follow staff and venue instructions. Do not engage in illegal activity or behavior that interferes with another person’s ability to participate in the conference.
Harassment, discrimination, intimidation, threats, unwanted physical or sexual attention, persistent unwanted contact, stalking, bullying, deliberate disruption of sessions, and degrading or exclusionary comments or jokes are not tolerated. This applies in conference spaces, lodging and official social events, conference-related digital communities, and other Hauler Hero-sponsored activities.
If someone asks you to stop behavior that is making them uncomfortable or that violates these standards, you are expected to stop immediately.
Commercial and Promotional Conduct
Networking and customer-to-customer conversation are encouraged. However, attendees may not conduct unauthorized sales activities, distribute promotional materials in a way that disrupts the event, impersonate an official sponsor, or use conference access primarily to solicit attendees without Hauler Hero’s permission. Sponsors and approved partners must follow the terms applicable to their participation.
Reporting a Concern
If you experience or witness conduct that may violate this Code of Conduct, please contact a Hauler Hero event staff member as soon as possible or email events@haulerhero.com . If there is an immediate threat to health or safety, contact venue security or local emergency services first.
Hauler Hero will take reports seriously and may take any action it reasonably considers appropriate based on the circumstances, including giving a warning, requiring behavior to stop, limiting access to particular activities, removing a participant from the conference, revoking credentials without refund, contacting venue security, or contacting law enforcement when appropriate.
Hauler Hero will seek to handle reports as discreetly as reasonably possible, but cannot guarantee confidentiality when disclosure is necessary to investigate or address a concern, protect participants, or comply with law.
16. Removal from the Event
Hauler Hero may deny or revoke access to the conference, without refund, when it reasonably determines that an attendee has violated these Terms & Conditions, the Code of Conduct, venue rules, applicable law, or has engaged in conduct that threatens safety or materially disrupts the event or other attendees.
17. Assumption of Risk
Participation in travel, conferences, receptions, meals, lodging, and other in-person activities involves ordinary risks associated with travel, gatherings, illness, injury, property loss, and participation in optional activities. By attending, you voluntarily accept the ordinary risks associated with participation and are responsible for evaluating your own health, travel, and personal circumstances.
Nothing in these terms is intended to waive rights or limit liability where such a waiver or limitation is prohibited by applicable law.
18. Privacy
Hauler Hero may collect and use registration and event-participation information as reasonably necessary to administer the conference, provide accommodations and event services, communicate with attendees, operate event technology, improve future events, and comply with legal obligations. Any handling of personal information is also subject to Hauler Hero’s applicable privacy policy.
Hauler Hero may use service providers to support registration, lodging, event production, communications, photography, food and beverage, or related conference operations. Attendee information may be shared with those providers as reasonably necessary to provide those services.
19. Third-Party Services and Travel
Airlines, transportation providers, hotels, venues, restaurants, and other third parties may have their own terms, policies, and liability rules. Except for accommodations or services that Hauler Hero expressly includes in the conference package, attendees are responsible for their arrangements with third parties and any related charges, cancellations, or disputes.
20. Updates to These Terms
Hauler Hero may update these Terms & Conditions when reasonably necessary to reflect event logistics, safety requirements, venue rules, legal requirements, or program changes. The current version will be made available through the conference registration page or another location designated by Hauler Hero. Material changes affecting registered attendees will be communicated when reasonably practicable.
21. Governing Law and General Terms
These Terms & Conditions are governed by the laws of the State of New York, without regard to its conflict-of-laws principles, except to the extent applicable law requires otherwise. If any provision of these Terms & Conditions is determined to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
